Statement analysis
Analyze a financial statement
Choose the statement type, upload the file, and run the analysis.
- Go to Statement Analysis.
- Select the statement type: Balance Sheet, Income Statement, or Cash Flow. The panel below the selector shows what that type accepts and which checks run.
- Choose the file and select Analyze. Detechtico first confirms the file really is the statement you selected.
- Wait while the AI review runs, usually one to three minutes. The results appear on the same page and are saved to your account.
| Accepted formats | Notes |
|---|---|
| Text is read from up to 40 pages. Scanned PDFs are reviewed from images of the first 5 pages. | |
| Excel (.xlsx) | Up to 8 sheets are read. |
| Word (.docx) | Paragraphs and tables are read. |
| CSV or text | Use for exported statements. Large transaction ledgers belong in Dashboard → Import. |
| Images (PNG, JPG, WEBP, TIFF) | Reviewed visually; text accuracy depends on image quality. |
Statement types and checks
Each statement type gets checks written for that statement.
| Statement type | What to upload | What is checked |
|---|---|---|
| Balance Sheet | A statement of financial position: assets, liabilities, and equity. | Assets equal liabilities plus equity; asset and liability subtotals add up; new or sharply changed balances such as receivables, related-party, and suspense accounts. |
| Income Statement | A profit and loss statement: revenue, expenses, and profit or loss. | Gross profit, operating income, and net income reconcile; margin anomalies; one-off gains; unusual expense movements. |
| Cash Flow | A statement of cash flows: operating, investing, and financing activities. | Sections sum to the net change in cash; opening and closing cash roll forward; earnings versus operating cash; unusual flows. |
When a statement shows two periods side by side, the first column is treated as the current period and the second as the prior period. Material balances that are new this period, or that moved sharply, are reported with both figures.
When the file doesn't match the type
Uploads are checked against their contents, not their file names.
If you upload an income statement with Balance Sheet selected, Detechtico stops before analyzing it and tells you what the file looks like instead. Select Analyze as Income Statement to re-run the same file with the right type, or choose a different file.
- Files that are not a balance sheet, income statement, or cash flow statement (for example a ledger, invoice, or bank statement) are rejected with an explanation. A ledger or list of payments belongs under Import on the dashboard; use the Go to Import button.
- Scanned documents and images are checked by the AI review instead; a mismatch then appears as a failed analysis with the same explanation.
- A full annual report that contains all three statements is accepted for any type; the analysis focuses on the statement you selected.
Findings
Understanding findings
Each finding is one potential issue, explained and backed by evidence from the document.
| Part of a finding | What it tells you |
|---|---|
| What was observed | The issue in plain terms, with the figures involved. |
| Calculation | The arithmetic behind the finding, line by line: for example revenue less cost of sales, the expected gross profit, the reported gross profit, and the difference. |
| Why this may indicate an issue | Why the observation matters for misstatement or fraud risk. |
| Evidence | The lines and figures quoted from your document. |
| Location | Where it appears: page number, sheet, or line item. |
| Recommended follow-up | Procedures to confirm or rule out the issue. |
| Severity | High, Medium, or Low: how significant the indicator could be. |
| Confidence | How strongly the evidence supports the finding, from 0% to 100%. |
| Source | AI: every finding is decided by the AI forensic review. Analyses run before October 2026 may also show Rule findings from the earlier rule-based checks. |
How the review works: Detechtico first computes the statement's arithmetic exactly (whether totals agree, whether it balances or reconciles, and how each line moved against the prior period). Claude then reads the whole statement together with those computed facts, your risk settings and your earlier decisions, and decides which issues are real, how severe they are, and how confident it is. A difference that is only rounding is not reported. If the AI review is unavailable, the analysis fails with a clear message instead of showing partial results.
When two findings describe the same underlying issue, they are combined into one. All of their evidence and locations are kept, and any additional observations appear under "Also noted by AI review". Different issues are never merged, even when their wording is similar.
Reviewing findings
Record your decision on each finding so the next reviews learn from it.
| Action | When to use it | Effect |
|---|---|---|
| Confirm | You verified the issue against source records. | Similar signals are prioritized in later reviews. |
| Needs info | You need more evidence before deciding. | The finding stays open for follow-up. |
| Dismiss | The finding is a false positive. | Similar signals need stronger evidence next time. |
Open Explainable AI, select an analysis, and use the buttons under each finding. Findings without a decision are labelled Unverified indicator. Your decisions are summarized under Adaptive Learning.
PDF investigation report
Download a report you can save, share, and review offline.
Select Download PDF Report on a completed analysis, in Statement Analysis or Explainable AI. The report is built from that analysis and includes your review decisions at the time you download it.
- Case details: case reference, document name, statement type, file size, SHA-256 checksum, and upload, analysis, and report dates.
- Executive summary: the overall indication, counts by severity, the most significant indicators, and review status.
- Findings at a glance: one row per finding with severity, status, and source.
- Detailed findings: what was observed, why it may matter, evidence and figures, source location, and recommended follow-up.
- Summary of risks and patterns, suggested investigation priorities, and the methodology and its limitations.
Risk configuration
Tune how findings are prioritized for your engagements.
| Setting | Effect |
|---|---|
| High and Medium risk thresholds | Imported transactions scored at or above High are Flagged; at or above Medium they go to Review; below that they are Clear. The AI also uses them to calibrate statement findings. |
| Transaction amount alert | Tells the AI which amounts are large for you. A large amount on its own is not enough to flag a transaction; it adds weight only alongside another warning sign. |
| Detection focus areas | Areas the AI review looks at. Turning one off removes those signals (for example duplicates and same-day splits under Velocity) from the review. |
Settings apply to analyses you run after saving them. Earlier analyses keep the settings they were run with.
Transaction imports and network analysis
Import ledgers to review transactions and map vendor relationships.
- Import transaction ledgers from the dashboard's Import tab as CSV, JSON, or Excel, up to 5,000 rows per file.
- After an import, the rows are saved straight away and show AI REVIEWING while Claude scores them, usually within a minute or two. The page updates on its own when the review finishes.
- Claude reviews each transaction against the rest of your ledger: repeated payments to the same payee, amounts just below an approval limit (such as $4,999.99), payments split across one day, amounts far above a payee's usual payments, high-risk payee types such as cash or crypto, and weekend dates. A score or status included in your file is taken into account but does not decide the result.
- Each transaction gets a risk score from 0 to 100 and a status from your thresholds: Flagged at or above High, Review at or above Medium, otherwise Clear. Only transactions with real warning signs are flagged; a large amount alone is not one.
- The Why column (and Why flagged on Fraud Detection cards) gives Claude's reasons in plain language, citing the related transactions.
- Explainable AI → Imported transactions explains every transaction in one place. The tabs are Flagged, Review, Clear and All; you can also filter by pattern (for example, all possible duplicates), search by payee, and record Keep flagged, Needs review, or Mark clear.
- Re-run AI review scores every imported transaction again, for example after you change your risk settings. It replaces statuses you changed by hand.
- You can change any transaction's status; the change is recorded in its reasons.
- Network Analysis links vendors that share amount patterns, import files, dates, or flagged activity, and groups them into clusters.
Administration
Admin access and roles
Staff accounts use the admin console, protected by two-factor authentication.
| Role | What it can do |
|---|---|
| Support | View users, analyses, subscriptions, AI usage, and the audit log; sign users out; send password reset emails. |
| Billing operations | Everything Support can do, plus trial overrides, complimentary access, cancellations, and Stripe sync. |
| Superadmin | Everything above, plus creating, editing, activating, and deactivating accounts, assigning staff roles, requeueing analyses, and revealing document details. |
- Staff are taken to /admin when they sign in.
- On first sign-in, enroll an authenticator app under Security. Admin tools stay locked until you do.
- Sensitive actions ask for a fresh authenticator code. It stays valid for a few minutes, then you are asked again.
Managing users
Find an account, check its access, and act on it from one page.
| Task | How |
|---|---|
| Find users | Admin → Users. Search by email or name; filter by role, status, and access (paid, trial, complimentary, locked); sort by date, email, or name. |
| Add a user | Select Add user, enter name, email, a temporary password, and the role (Customer or a staff role). |
| Edit name or email | Open the user, select Edit, and give a reason. The user signs in with the new email. |
| Reset a password | Send password reset. The user receives an email with a link valid for 1 hour. |
| Sign a user out | Sign out everywhere ends all of the user's sessions. |
| Deactivate or reactivate | Deactivation blocks sign-in and ends sessions; choose what happens to billing and give a reason. |
| Change a role | Under Role and permissions, choose the new role and confirm. You cannot change your own role. |
| Grant access | Grant complimentary access until a date, or move the trial end date. |
Every change made in the admin console is recorded in Admin → Audit with who made it, when, and the reason given.
Help
Security and privacy
Your documents and results are visible only to your account.
- Uploaded files are stored privately per account, and the database enforces that each account sees only its own documents, analyses, and findings.
- Statement contents are sent to the AI review provider only to produce findings for your analysis.
- You can delete an upload and its results at any time from Statement Analysis.
- Staff access requires two-factor authentication, and every admin action is audited.
See Trust & Security and the Privacy policy for full details.
Troubleshooting
Common messages and what to do about them.
| Message or problem | What to do |
|---|---|
| This file doesn't match the selected statement type | Select the suggested type with Analyze as…, or upload the statement you meant to. |
| We couldn't read this file | The file is password-protected, corrupted, or not a real spreadsheet or PDF. Export it again and retry. |
| Unsupported file type | Save the statement as PDF, .xlsx, .docx, CSV, or text, or upload an image of it. |
| The AI review service could not be reached / is busy | Delete the upload and try again in a few minutes. For imported transactions, use Re-run AI review. |
| The AI review isn't set up on this server | An administrator needs to add a valid Claude API key to the server settings. |
| Not reviewed by AI yet | The transaction was imported before the AI review, or the review could not finish. Use Re-run AI review. |
| The analysis timed out | Delete it and upload the file again. |
| Your trial has ended | Choose a plan under Billing or on the Pricing page to continue. |
